POLICIES & PROCEDURES

Gold Steward provides concierge-style property stewardship services designed to offer peace of mind, proactive oversight, and trusted presence. The following policies ensure clarity, consistency, and a high standard of care for every home we steward.

Scope of Services

Gold Steward provides property oversight, observation, and coordination services only.

Our services may include:

  • Scheduled property check-ins

  • Visual walk-throughs of interior and exterior spaces

  • Identification of visible issues or concerns

  • Photo documentation when appropriate

  • Coordination with approved third-party vendors

  • Seasonal readiness and arrival preparation (as contracted)

 

Gold Steward does not perform physical labor, repairs, inspections, or professional trade services. All maintenance, repairs, and specialty work are completed by licensed third-party vendors.

Vendor Coordination

When requested, Gold Steward may coordinate access and scheduling for third-party service providers. While we take care to work with reputable vendors, Gold Steward is not responsible for the acts, omissions, workmanship, or outcomes of any third-party provider.

All vendor services are billed directly to the homeowner unless otherwise agreed upon in writing.

Property Access

Clients are responsible for providing:

  • Keys, entry codes, gate access, and alarm instructions

  • Updated contact information

  • Emergency contacts when applicable

 

Gold Steward is not responsible for delays or missed services due to lack of access or inaccurate access information.

Emergencies

An emergency is defined as a situation that poses an immediate risk to the property, such as water intrusion, power loss, or security concerns.

In the event of an emergency:

  • Gold Steward will make reasonable efforts to contact the homeowner

  • If immediate action is required to prevent further damage, Gold Steward may coordinate emergency services

  • Pre-approved spending limits apply, as outlined in the client agreement

Gold Steward is not liable for damage resulting from system failures, hidden defects, or circumstances beyond our control.

Communication

Gold Steward values clear and intentional communication.

  • Primary communication is conducted via email or text, as agreed upon

  • Response times are typically within one business day for non-urgent matters

  • Emergency communication is reserved for urgent property-related issues only

  • Availability is limited to contracted hours unless otherwise specified

Golden Steward does not provide 24/7 on-demand availability unless explicitly contracted.

Documentation & Privacy

Gold Steward may photograph or document property conditions for record-keeping and reporting purposes. These materials are used solely for service documentation and are never shared publicly without written client permission.

Client privacy and discretion are respected at all times.

Insurance & Liability

Homeowners are responsible for maintaining appropriate homeowners and property insurance coverage.

Gold Steward is not liable for:

  • Hidden defects

  • System failures

  • Acts of nature

  • Theft or damage not caused by gross negligence

  • Actions or omissions of third-party vendors

Clients agree to hold Gold Steward harmless from claims arising outside the scope of contracted services.

Fees & Payment

  • Monthly stewardship fees are billed in advance

  • Fees are non-refundable

  • Additional services or project work are billed separately

  • Late payments may result in suspension of services

Specific pricing and billing terms are outlined in each client’s service agreement.

Termination of Services

Either party may terminate services with written notice, as outlined in the service agreement. No refunds are issued for unused services within a billing period.

Gold Steward reserves the right to decline or discontinue services if the scope, expectations, or circumstances no longer align with the service model.

Limited Client Availability

To maintain a high standard of care, Gold Steward serves a limited number of homes at any given time. Availability is subject to capacity and discretion.

Acceptance of Policies

Engaging Gold Steward services constitutes acknowledgment and acceptance of these policies and procedures.
